Of course, you may say: with money you can buy time, outsourcing most of your tasks, but that goes back to time management, and it all comes down to the most valuable resource we can manage in our lives. It applies to everything – both on a personal and professional level.

Hi! I’m Daniel de Castro Ruivo, co-founder, and manager of Altar.io.

We create MVPs from idea to market, starting with business analysis, to product research, UX/UI, and software development. We have both client and internal projects. We are close to 20 people and we work in a hybrid mode having both in loco and remote teams.

When managing a company like Altar the importance of time & timing is highly expressive. This must apply to any company I guess and in my case, I’m managing my time, the team’s time, the client’s timings, and the market’s timings.

How and Why Did I Pick Everhour Among 10 Other Time Tracking Tools?

The same approach and principles can be easily applied to the selection of any other software.

We were using different tools for Project Management and Time Tracking and we needed to integrate them for obvious reasons: there is no such thing as management without tracking. When I started scouting the market I had in mind:

  • Robustness
  • Centralization
  • Integration with PM services
  • Flexibility
  • Adoption curve
  • Price
  • Customer Support

Robustness

Robustness is vital in any system we want to integrate into our working flux because we cannot afford to stop the team for 3rd party services instability issues. In the end, this topic was easy to cover, since all the top 10 recommended tools seemed pretty stable and with a significant user base to make it a solid move.

Centralization

With centralization, I mean the business and project managers must have a centralized dashboard to see in real-time what is happening with all the involved collaborators of each project.

In Altar’s case, this is a vital step because we have a full transparency policy with our clients and at each step of a sprint the client knows what is happening. So not only do I want to have access to this information as I want to share it with my client.

With Everhour I liked the custom-made reports a lot. I create the report templates which are highly flexible and then with a single click I can report to my clients and the Product Owners can report to the management in literally 1 minute.

Integration with PM services

In this topic we have a special situation, most companies use one single Project Management Tool, but we use 2, Trello our standard choice, and Jira because some clients demand it.

Our first choice is Trello because we get all the flexibility we need. Trello is in many cases uncomprehended. Many times experienced project managers and software engineers say Trello is not their tool because “you can’t do this or that”. The truth is you can do whatever you want if you know how to use it and integrate it with other tools you are already using, such as Google Documents, Gantt for Trello, GitHub, etc.

I always find a way to prove you can do whatever you want with Trello except for 1 or 2 very specific features from other PM tools. I see it as an almost white canvas, agnostic to the process you use. That is why I find it perfect because you can implement whatever you need and everyone, from clients to collaborators, understands how to use it without instructions.

Everhour integrates with Trello and Jira and many other PM tools literally in a single click.

And as I said previously, it is vital for us to have full transparency in all processes with all stakeholders, from collaborators to a client, so this integration is highly relevant because the Client will see the reports using the exact same titles we’re using in Trello’s or Jira’s tickets with the time each collaborator estimated and took in each ticket.

Flexibility

Easy to imagine, as founder and manager of a small size agency I have to wear several hats, from strategy to marketing decisions, to day-to-day management to product decisions, to business development, I don’t have 2 days that are the same. So I was looking for a tool that could give a structure to my team’s time reporting activity and be flexible enough for my and my co-founder’s asymmetric workdays.

This one was a hard decision because some tools are totally flexible, you can log now and assign to a project and ticket later but Everhour was not. While Everhour has a strict user flux here.

I was fully committed to Everhour when I found this and for a time I was valuing the trade-off until I decided to adopt it for a period test. Now I understand and it actually helps us get even more organized.

The balance between flexibility and guarantees is the following:

  • On one side you have the team always reporting in compliance with the defined tickets that are distributed in each scrum.
  • On the other side, we created a list in Trello for the recurring tasks: like scrum meetings, strategy meetings, etc. and we keep using these cards for the repetitive tasks.

Adoption curve

With Everhour, the onboarding/adoption for the team was very fast and smooth. Onboarding is a simple email invitation and adoption was immediate from all operational teams: designers, developers, VA’s, marketers, and almost immediately from the managers.

Price

On the price side, Everhour is an outlier on the bright side. It is by far the best pricing. It also provides a free plan!

Customer Support

Customer Support wise I also strongly recommend it. Both by email and chat, the support team members always answer in 10 minutes, I always speak with the same account, so they always know what is my context, and they are even open to hearing some of our suggestions, in terms of product usability and UX. This means you are not talking to a machine, rather you have real customer support.

Since we’re talking about time and productivity I leave a fast note about my hacks to keep priorities in mind and avoid procrastination.

On a team level, we do several strategy meetings with the co-founders’ team, to keep priorities in place and all of us aligned with a common strategic vision:

monthly scrum: up to 4h,
weekly scrum: up to 1h,
daily scrum: 5m > 15m,

Note: the meetings always have a predefined agenda shared across all participants at least 1 day before the meeting.

Personal productivity hacks (that you can start using today)

On a personal level, I do a ritual I invented that I call “To the center”. This ritual helps me keep the center and focus on the long-term priorities. The ritual is super simple:

I browse a folder with a collection of pictures of 2 kinds: (I) things that I love the most in life and work; and (II) images that inspire me and things I want to achieve. I just do this ritual when I need to come back to the center I want to keep in focus and It helps a lot.

I also use the “Eat That Frog” technique. I simply start my day with the most important task that I’m avoiding or feeling more friction to start. The idea comes from a Mark Twain sentence “Eat a live frog first thing in the morning and nothing worse will happen to you the rest of the day” and it was turned into a book by Brian Tracy (that I never read, to be honest).

The idea is so simple and highly practical that I just started doing it and it simply works. Another detail of this hack is finishing each day picking the frog for the upcoming day.

Last simple and practical tip: DON’T CHECK YOUR EMAIL in the first 1h of work. The early hours in the morning are the best for your brain, so use it with the relevant things that need your brain before you get into the daily loop.

The PHNX21creative Agency is a digital-first agency focused on coaching small businesses to take their next marketing step. We are unique in that we form partnerships with our clients, educate them, and then become their marketing department.

Why does time tracking matter for your company?

Time is a factor in how we measure profitability per project or per client retainer. No one wants to bill $500/month for services and find out you made $5/hr for the month because you were way over-serviced.

Hi Jon, just some words about what you do. What’s unique in your team?

We are a Christian camp and conference center in the Santa Cruz CA mountains, including family camps, youth camps, summer camps, as well as events for men, women, couples, and professionals. I work with a design team inside of a non-profit.

Why does tracking time matter for your company?

Time tracking for us is not meant to justify positions or check up on employees. We use it to make sure that the jobs we are designing have a real return on investment. We can use the data that we get from time tracking to justify or move away from a particular practice.

So the need for good data to make sure that we are being responsible stewards of the money we are allotted is very important.

What project management tool do you use and why?

We use Basecamp 3 as an organization. We tried out several Basecamp alternatives before that but they didn’t work in a way that met our needs. It gives us the simple functionality that we need to ensure the projects are completed and that there is some accountability.

I like how Basecamp breaks the projects down into lists with to-dos. This is so powerful when you work on a huge task that is split into smaller tasks. This way it is easier to see where you stand at this moment. What they lack is they are not a time management app, in a sense, there is no way to track how much time I spent on my to-dos. You can always use Basecamp integrations for that though.

Any other time management apps used before? Why Everhour?

We did use Toggl and were pleased with it but for us, the Basecamp 3 integration was a must. So, Everhour was the best time management app that we found for Basecamp 3 time tracking. It places a timer into a to-do in such a native way, that you can’t even get it is not a part of Basecamp 🙂

Hi Aiden, let’s start with a few sentences about your company. What makes it stand out?

We’re a digital marketing company focusing on search.

The whole team is technically adept, allowing us to build and deploy campaigns rapidly and perform a variety of functions. More importantly, we’re committed to helping our clients build their businesses sustainably and quickly, not just the latter. We started out designing websites and only got into marketing because we wanted to be sure the sites we made were managed and grown as much as possible. Now that’s almost all we do.

Why does tracking time matter for your team?

We have a variety of clients and are looking to grow further. So, it’s important in a situation like ours to understand exactly how many hours a client takes and what time resources are being spent on what project. How do you organize your work and what needs to be done? Do you use any special software for this?

We use Basecamp 2 for project management. It lets us manage multiple projects for multiple clients fairly easily. We could see the whole picture of what was done for each client and what needs to be done.

We have spent the last two decades delivering hundreds of technology products, from websites and enterprise integrations to game camera control systems and first responder apps.

Why does employee time tracking matter for your company?

We pride ourselves on our ability to accurately estimate scope, and the ability to track actual time against specific tasks is very important to make sure our projects stay on track, especially with new information and ideas that emerge mid-project.

How do you manage all your tasks and projects?

We have tried several different task tracking tools over the last several years. We stopped on Pivotal Tracker when development teams understood how to structure the workflow and use it consistently and efficiently.

Our Project Managers work with the Dev teams to create each project board and identify the epics of a project and then the workable stories within each epic. The project team meets regularly for backlog grooming to estimate, prioritize and/or flesh out the story cards. Then during each Sprint, they add their time to Everhour within the Pivotal Tracker card.

For the majority of our team, they never have to leave Pivotal Tracker to complete their work or track time. The credit goes to your product which proves to be a great employee time tracking tool!

The Integration within Pivotal Tracker is key for us.

Getting the project teams to enter their time accurately in a stand-alone tracking software was not working very well for our needs.

The ability to create/save/share reports has been very beneficial. Being able to answer ‘easy’ questions quickly has helped keep projects on track and clients happy.

We like to cross tasks through different projects and Asana let us do that. It helps to identify where one project might affect another. Nowadays, not only do we use it to track tasks but it is a great internal communication tool. Some of our employees haven’t used e-mail for some time now.

We tried other tools (Harvest in particular), but now we only use Everhour as our work hours tracker on a regular basis.

The main thing is, as I said above, how well it’s integrated with Asana. You can keep tracking your time without ever leaving Asana.

We could say that the Reports inside Everhour are already very helpful. I’ve been using a Weekly by Member report. How much time the team reported and on what tasks. Also, I have a Project x Member – monthly. And once we can automate reading some of the stats through an API it will become even more useful.

We are still implementing the tool in our process but we already got a better understanding of the projects we got running in terms of value and bottlenecks.

What Project Management Tools When You Work on a Client’s Project?

Everything we do at Optimal lives in Asana. We use a modified version of Scrum to organize and get work done. Using custom views and custom fields (an insanely powerful and flexible feature) we are able to create an ideal workflow for this in Asana.

We have the following custom fields:

  • Sprint – Blocked (reviewed at the daily stand up)
  • Sprint – Doing (what each person is actively working on)
  • Sprint – To do (items committed for the current sprint)
  • Backlog (high/medium/low to help with prioritization) – upcoming work with the highest priority at the top of the backlog.

Did You Use Any Other Time App Before?

Knowing how important time tracking was, we needed to find a time app that removed all the friction.

We tried program after program (Harvest, Toggl, Tick, Timely). It became an ongoing joke in our office. If I wanted to spook anyone, I would announce that we were, yet again, going to try something new for time tracking 🙂

Then we found Everhour. What we love about Everhour is that placing time tracking in Asana where our team spends most of the time, takes all friction out of the equation.

Moving to 2.0 was a huge upgrade and a bit rocky (as these things commonly are), but the developers move at a break-neck speed.

What Are 3 Things You Like the Most in Everhour?

It gives us optics.  It’s one thing to measure data, but it’s another to use data to change behavior. We want our team to be aware of their time so they can be intentional in their decision on how they spend it.  Everhour surfaces this data for us.
