In response to valuable user feedback, we are thrilled to announce the launch of our new “Clock In Locations” feature. This functionality allows admins to see the location where employees clock in, adding a layer of accountability and helping ensure that clock-ins happen only when employees are physically at work.

Why This Feature Matters

Users have expressed a need to verify the locations of clock-ins to prevent issues such as employees clocking in from unauthorized locations. With this feature, admins can now monitor clock-in locations, addressing concerns about time theft and ensuring that all clock-ins occur at the designated work locations.

How It Works

When an employee clocks in using the mobile app, they will be asked to share their location. If the location is provided, it will be recorded and stored in the time card for admin review. It’s important to note that we only capture the location at the moment of clock-in and do not track the employee’s location continuously.

Enabling and Using the Feature

Admins can enable this feature in the settings under “Record clock-in location”. When turned on, employees will see a confirmation modal when they clock in, informing them that their location will be recorded. This step ensures transparency and gives the employee an opportunity to share their location.

If the option is turned off, the clock-in process remains unchanged, without the location confirmation step.

Admin View and Monitoring

For admins, clock-in locations can be viewed on a map, showing all employees’ clock-in points. Each employee’s avatar is displayed at their clock-in location. Clicking on an avatar will highlight the employee on the map, showing details of their clock-in. If an employee has clocked in multiple times, all locations will be displayed, and admins can click on each to see specific details.

Practical Applications

This feature is particularly useful for teams working remotely or in the field. It ensures that everyone is where they need to be at the start of their shift, enhancing both accountability and operational efficiency.

We’re excited to announce the addition of a powerful new feature to our scheduling tool: Recurrent Shifts. This functionality allows you to create shifts that repeat on a weekly basis, simplifying the scheduling process and ensuring consistency in your team’s work schedule.

The Recurrent Shifts feature starts with weekly recurrence. When creating a new shift, you’ll notice a new switch labeled “Repeat” located next to the block of weekday selections. Turning on this switch will display an additional input field where you can set the end date for the recurring shifts, ensuring you have control over the duration of the recurrence.

To make it easy to identify recurrent shifts, an icon will be displayed on the shift block. Open shifts can also be set as recurrent, providing flexibility in how you manage shift availability and coverage.

One of the key advantages of this feature is the ability to publish individual shifts within a recurring series. For example, you can create a shift that repeats weekly but choose to publish only the first week’s shift initially. This allows for a more controlled and gradual rollout of schedules.

Editing recurrent shifts is straightforward and flexible. When making changes to a recurring shift, you have the option to apply the changes only to the current shift or to the current and all following shifts.

Upon saving, a confirmation dialog will appear with the options “This shift only” and “This and following shifts.” Selecting “This shift only” will break the shift away from the recurring series, allowing you to make individual adjustments or set a new recurrence pattern for that specific shift.

If you need to change the date of a recurrent shift, simply move the shift to the desired date. This action will detach the shift from the recurring series, treating it as a standalone shift with its own scheduling rules.

Deleting a recurrent shift is handled with care to ensure you don’t accidentally remove more than intended. When attempting to delete, a confirmation dialog will prompt you to select whether to delete “This shift only” or “This and following shifts.” No option is selected by default, and the delete button remains disabled until you make a choice, preventing accidental deletions.

Currently, the creation of recurrent shifts is only available on the desktop version. However, admins can still edit or delete recurrent shifts from the mobile app, ensuring they can manage schedules on the go.

How Open Shifts Work

With the new Open Shifts feature, admins can create and publish open shifts that are visible to employees within their specific workplace and group.

Employees can then assign these open shifts to themselves without needing admin approval. This streamlined process empowers your team to take control of their schedules and helps ensure that all shifts are covered efficiently.

Enabling the Feature

To start using Open Shifts, admins need to enable the “Allow users to pick up open shifts” option in the team settings. If this option is disabled, members will not see any open shifts in their schedules. Once enabled, employees can view and claim open shifts that fit their availability.

Employee Experience

When an employee sees an open shift in their schedule, they can simply assign it to themselves. Once an open shift is taken, it will appear to the admin as a regular shift with the employee’s name as the assignee. It’s important to note that open shifts are only visible to employees for future dates and only within their respective workspace and group.

Managing Errors

While this feature adds significant flexibility, there are some limitations to keep in mind. If an employee mistakenly takes an open shift, they cannot drop it themselves. In such cases, they will need to contact their manager to resolve the issue.

How It Enhances Team Collaboration

Our users have shared that knowing who they are working with can greatly improve their day-to-day operations. For example, if an employee is running late, they need to know who to contact for a smooth shift transition. With this new feature, employees can see their teammates’ shifts for the day, facilitating better communication and coordination.

How It Works

In the Schedule Page (Web):

Employees can now see a list of their colleagues who are working on the same day. This information is conveniently displayed on the schedule page, making it easy to access and reference throughout the day.

In the Mobile App:

On the Time tab of the mobile app, we’ve added a section called “Also working today.” Here, employees can see which of their team members have shifts on the same day, providing the same level of visibility as the desktop version.

For Admins:

Admins have control over this feature through the settings. In the Settings/Preferences section, there is a new switch labeled “Allow users to see colleagues on the same shift day.” Enabling this option allows employees to utilize this new feature.

This feature is designed to enhance workplace efficiency and communication. By knowing who is working on the same day, employees can:

Why We Added Shifts Publishing

In the fast-paced world of team management, having the flexibility to plan ahead without immediate changes affecting the whole team is crucial.

With the Shifts Publishing feature, admins can now draft schedules in advance, make necessary adjustments, and ensure everything is perfect before sharing it with the team. This approach minimizes confusion and errors, leading to a smoother, more efficient scheduling process.

How It Works

Enabling the Feature

In the team settings, you’ll find the option to “Require publish for new shifts.” Activating this option means all new shifts will be created as drafts by default. If this option is disabled, shifts will be published immediately, just as in the current version.

Creating Draft Shifts

By default, all new shifts are created as unpublished and are only visible to admins. The initial version does not support an “Unpublish” function. If a shift needs to be removed from the schedule, it must be deleted.

Managing Published Shifts

Any changes to already published shifts are updated in real-time and are immediately visible to users. When a published shift is copied, the copy will be created as a draft. For instance, if you copy a week’s schedule, the copied shifts will remain unpublished.

Publishing Draft Shifts

We’ve added a “Publish (N)” button in the toolbar, where “N” indicates the number of draft shifts for the selected period (day/week/month). Clicking this button will open a confirmation modal with details about the period, the number of shifts, and the number of users affected by the publication.

How to Use Checklists

For Admins:

  • Add Tasks: Admins have the flexibility to add as many tasks as needed for each shift.
  • Task Status: Check or uncheck tasks as they are completed during the shift.
  • Task Order: Easily change the order of tasks to match your workflow.
  • Shift Duplication: When copying a shift, tasks will be carried over and appear as unchecked for the new shift.
  • Bulk Shift Copy: If you copy an entire week, all tasks will be duplicated as unchecked.
  • Overview: On the main screen, a small icon and a task completion count (e.g., 1/3) will indicate the progress for each shift.

Until now, adding extra details to your shifts was limited to a single text field known as “shift notes.” While this approach served its purpose, it came with its own set of limitations and disadvantages. Enter custom fields – a versatile addition to shift management that offers a multitude of advantages.

Advantages of Custom Fields

  • Logical Separation: Custom fields allow you to logically separate different pieces of information within a shift, making it easier to organize and understand.
  • Enhanced Readability: Information is now more accessible and easier to navigate, improving readability for both admins and employees.
  • Selective Visibility: As a shift manager, you may not want to expose all details to employees. Custom fields give you control over who sees what, ensuring privacy when needed.
  • Future Possibilities: Numeric fields open doors to potential data summarization and analysis in the future.

Should this feature be warmly received, we have plans to expand the types of custom fields available. Imagine having options like single-select dropdowns and multi-select dropdowns to further tailor your shift details.

How to Use Custom Fields

To get started, navigate to ‘Settings’ and select ‘Shift Fields’ to add custom fields.

Currently, there are three types available: Number, Short Text (max 150 characters), and Long Text (max 500 characters). You can decide whether to display this information to employees or restrict it to admins only. If you have multiple custom fields, easily set their order by clicking the “…” menu and choosing ‘Move Up’ or ‘Move Down.’ Custom fields will be displayed in the new shift form in the order you define.

Examples of Custom Fields

  1. Location: Specify the exact location or address for the shift.
  2. Uniform/Attire: Define dress code or uniform requirements.
  3. Equipment/Resources: Note any necessary equipment or resources for the shift to ensure everything is readily available.
  4. Emergency Contacts: Include contact details for emergencies, such as a manager’s information or the location of emergency supplies.
  5. Customer Contact: If the shift involves client or customer interaction, include their contact information for quick reference.
