What Is Overtime Pay?

Overtime means that employees should be paid at a higher rate for all hours worked in excess of normal working hours. Normal hours can be determined in different ways: by agreement between employers and workers, by profession, or by legislation. But how much is overtime and how to calculate overtime pay?

In most cases, laws stipulate the standard working hours per week, for example, employees are entitled to overtime pay for every hour beyond 40 they work per week, regardless of how many hours they work in a day.

But in some cases, a standard number of daily working hours are stipulated as well. For example, employees are entitled to overtime for every hour beyond 8 work per day in Alaska, Nevada, Puerto Rico, and the Virgin Islands.

Overtime pay is typically 1.5 times the employee’s regular wage. But in some cases, overtime may be paid at a higher rate. For example, if workers are required to work on a Sunday, they may be paid 2 times their regular rate (i.e., “double time”). 

How to Calculate Overtime Pay?

Calculating overtime pay for hourly employees is usually pretty straightforward. Let’s make it clear with an example:

  • Mon: 7h total (7 hours regular pay)
  • Tue: 9h total (8 hours regular pay + 1h overtime pay)
  • Wed: 9h total (8 hours regular pay + 1h overtime pay)
  • Thu: 13h total (8 hours regular pay + 4h overtime pay + 1h double overtime)
  • Fri: 11h total (7 hours regular pay + 4h paid time off)
  • Sat: 9h total (2 hours regular pay + 7h overtime pay)
  • Sun: 9h total (9h overtime pay)

Who Is Entitled to Overtime Pay?

Employees can be classified in different ways based on their salary and the type of work they do. Some employees may be exempt from overtime pay if they are employed as executive, administrative, or outside sales workers, as well as certain computer employees. The term “exempt” means exempt from being paid overtime. The full list can be found on the site of the United States Department of Labor.

According to the latest overtime update, since January 1, 2020, any non-exempt employee from the USA who earns less than $684 per week ($35,568 per year) will be also paid overtime.

Remember that misclassifying your employees can result in decreased morale and have significant financial implications. Check out the current rules for your location.

How to Calculate Overtime for Part-Time Employees

The question arises with part-time employees. In general, a full-time employee works, on average, at least 30 hours per week, or 130 hours per month for more than 120 days in a row. A part-time employee works less than 30 hours per week or less than 130 hours per month for more than 120 days in a row.

Part-time employees are not entitled to overtime based on a weekly standard. If you have an exceptionally busy week, however, and you put in 50 hours, you are entitled to overtime pay. And, if you work in a state with a daily overtime standard, you are entitled to overtime if you hit the state threshold.

How to Calculate Overtime Pay: Breakdown by Country

As already mentioned before, a lot depends on the country (and even the state in the USA) and local legislation.

In Canada 🇨🇦, employers may be required to pay overtime at a higher rate, but also be allowed to require time off in lieu (also called “banked time”) at the normal rate. Unless a contract of employment or a collective agreement states otherwise, an employee does not earn overtime pay on a daily basis by working more than a set number of hours a day. Overtime is calculated only on a weekly basis or over a long period under an averaging agreement.

Many employees have jobs that are exempt from the overtime provisions of the Employment Standards Act (e.g. managers and supervisors do not qualify for overtime if the work they do is managerial or supervisory).

In France 🇫🇷, the legal length of the working week is 35 hours in all types of companies. The working day may not exceed 10 hours. Furthermore, employees may not work for more than 4.5 hours without a break. The maximum working day may be extended to 12 hours under a collective agreement.

Breaks, lasting a minimum of 20 minutes, must be granted to the employees at least every 6 hours. All workers have a daily rest period of 11 consecutive hours (9 hours in certain cases depending on collective agreements). The minimum weekly rest period is 35 consecutive hours (11 hours plus a 24 consecutive hour rest period per week).

In Japan 🇯🇵, it is an eight-hour workday and 40-hour workweek with at least one day off per week. It is also required to pay a premium of at least 25% over the ordinary hourly wage for any overtime work, 35% for any work on prescribed off days, and an additional 25% for any work between 10 pm and 5 am.

In California 🇺🇸, any time worked in excess of 8 per day and for the first 8 hours worked on the seventh consecutive day of work is counted as overtime.

Any time worked in excess of 12 hours a day and in excess of 8 hours on the seventh consecutive day of work in the workweek is counted as double time.

Overtime and Time-Off in Lieu

Some employers give you time off instead of paying for overtime. This is known as ‘time off in lieu.” “In lieu” essentially means “instead”. There must be a written agreement between the employer and employee which approves this type of compensation. The employee must also specifically request time off in lieu of overtime pay. The employer cannot impose it unilaterally.

TOIL needs careful management and the ground rules should be set out clearly. With an obvious expiry date — most likely either calendar year-end or financial year-end. You typically also agree on the maximum number of days that one employee can accrue in TOIL.

How to Calculate Overtime Pay: Final Note

If you believe you are not paid properly, bring the issue to the attention of your supervisor or human resources department. If that doesn’t work, you should contact an attorney to explore your legal options.

Hello there! We’ve been diligently enhancing our Notion integration to align more seamlessly with their workflow and to enhance your overall time tracking experience. Let us walk you through the improvements we’ve made.


If you already has a Notion integration with Everhour, nothing changes automatically, it keeps working the old way. However, when you open your Integrations page, you will find a new option “Configure”.

When you click on it, you appear on a screen to choose how to sync with Notion. This involves defining what should be recognized as a “Project” and what should be categorized as a “Task” within Everhour.

First option (standalone project, by default): This is particularly handy when you have multiple distinct pages, with each page representing a project. The database within each page contains the tasks associated with that specific project.

🆕 Second option (relation): This option follows the default pattern suggested by Notion’s templates. You maintain a separate database for projects and another separate database for tasks. Tasks are linked to projects through a relation property. Everhour will interpret and recognize this relation, ensuring accurate attribution of your entities.

Third option (don’t sync): This option allows you to deactivate a database if you choose not to synchronize it with Everhour.

Time for the 1st major update in 2023 and it has to do with admin permissions. This question has been open in Everhour for quite a while, since a lot of teams considered the supervisor role to be heavily limited, but still did not want to grant the admin access to too many team members.

So we came up with a way to restrict the access of certain admins to sensitive areas of your team’s data. Here is how it works. 

Which admin permissions are customizable

There are now 4 permissions that can be turned on/ off for a team admin:

  • View and manage billing and budgets
  • View and manage costs
  • View and manage invoices
  • View and manage expenses

Once you turn one of these permissions off, the admin will become a limited admin (we mark them as admin*) and will not be able to see the respective data anywhere in Everhour.

Important

There are a few other important things to keep in mind about this feature:

  • Limited admins cannot give the admin role to others;
  • Limited admins cannot delete or deactivate admins;
  • You cannot change the permissions for yourself;
  • The permissions of team owners are non-customizable.
  • This feature is available on the Team plan only.

Do you need time tracking software with screenshots to manage a remote team or occasional freelancers or contractors whom you pay by the hour? Now Everhour offers exactly what you need!

  • You decide who needs it (if any at all). Screenshots can’t be recorded without the user’s knowledge;
  • Everhour doesn’t capture screenshots by default;
  • Everhour doesn’t record keystrokes, apps you use, and websites you visit;
  • Screenshot can only be captured if you have the specially designed application installed and running (Windows/Mac);
  • Both admins and regular users can permanently delete screenshots. Regular users can delete only their personal screenshots;

Enable Screenshot Taking

In order to be able to take and see screenshots, a team administrator has to turn on the respective block on the Apps page. When you click on the gear icon to open settings, it will be possible to choose which members of your team you want to supervise with screenshots. Pick to blur screenshots to hide sensitive data.

The app is available only to users who are currently on a Team Monthly/Annually plan. If you are on the Basic plan, you should ask the team owner to upgrade your plan on the billing page to unlock the feature.

After that, every member who was included on the list should install a desktop app here so that Everhour could take screenshots. Open it after the download to authorise it with your Everhour account. The last but very important step is to agree to grant our app permissions to take screenshots.

Where to See Screenshots

When screenshots are enabled, every user selected will see a new tab “Screenshots” on Time and under Member profile tabs. Team administrators can see this tab when they access a profile of another member.

This page will be divided into hourly blocks, each block with 6 screenshots in total because we take a screenshot every 10 minutes.

  1. Each screenshot has the exact time when it was taken displayed according to the user time format. 
  2. Choose a date range for which you want to see screenshots.
  3. A task title for which a user was tracking with a timer at the moment of screenshot taking. When you were not using the timer at that moment, the screen will say “No timer”.
  4. We label a screenshot with “No activity” when it was not taken, and “Deleted” if somebody removed it.
  5. Remove a screenshot/bulk select screenshots to remove.

When you click on a screenshot, you open a preview screen.

  1. The header displays the user name, project, task title, time, and day of screenshot taking.
  2. You can delete a screenshot from the preview.
  3. Navigate across screenshots by clicking on arrows with a mouse or using the left-right keys.

Using a Desktop App

A desktop app is vital to be installed in order to take screenshots. You can open it in your task tray and find useful commands there.

  1. Pause – Stop taking screenshots. Pause it every time you switch from work to a leisure activity. 
  2. Start – becomes active after you hit Pause, pressing this button activates our app to take screenshots.
  3. Screen Capture – take screenshots only from the main monitor, or from all monitors you are working with.
  4. Sign Out – withdraw your API key to let you re-login. 
  5. Help – leads you to our support portal support.everhour.com.
  6. Check for updates – you will see “Current version is up-to-date” or “Found new updates”. When you see the latter message, click to download and then install.
  7. Quit – turns off our app with the status it had been (active/paused) which remains when you re-activate. No screenshots are taken when you quit the app.

The next cool update to our custom reports is waiting for you! From this moment, give a column your own name that you understand and are used to.

How to Rename a Column

Open your report builder and go to Layout where you can add and re-order columns. Hover over the column to see the pen icon and click on it. Type your own title, then hit enter or click somewhere on your screen.

That’s it! You can recall the original title by hovering on the tooltip in the report builder.

Don’t like the title after you saved the report? No worries, rename it without opening the layout section alongside doing other actions with a column!

Details to Know About This Feature

There are some things you should be aware of when you rename a column:

  • If you unselect the column from your report, we roll its original title back, you have to rename it again.
  • A field name can’t be blank.
  • The new column title will transfer as well if you download a report.
  • In shared reports, team members can rename columns in their turn, but the change applies only to them. The changes made by a report creator are visible to everyone.

Hi there! Quite an anticipated update on the invoicing direction: you can now issue invoices for a client with fixed-fee projects. Let’s now see how it works!

Creating an Invoice for Fixed-Fee Projects

We have changed the modal window when you create an invoice: every client project now shows the billing type. You can’t choose projects of different billing types to appear on one invoice.

When you choose your fixed-fee project, we put its fee as the default billable amount:

The invoice draft appears to have a fixed structure: the line item has the project name, no hours reported, and the billable amount equals its fixed fee. We apply all other invoice settings you have in general or particular for this client (due terms, taxes, etc.)

Important! You can’t repeat fixed fees periodically, so the invoiced sum will never be available on a new invoice.

At the same time, you can edit the invoiced amount. If you make a kind of partial sum invoice, the remaining sum will be available in the next invoice.

How We Display the Uninvoiced Amount of Fixed Fee Projects

While the invoiced amount of fixed-fee projects is displayed on the main invoices list, before you issue the invoice, you can see the uninvoiced amount size on Project and Client Summary, Client Profitability Dashboard.

We do not show invoiced and uninvoiced amounts if you have such projects included in custom reports. Please be careful when making a report for a client that contains both T&M and Fixed-Fee projects!

Everhour is ready to report about a further enhancement to our task estimates b-sync with Asana. Set the name of the field with which you want to sync task estimates yourself to facilitate the Asana project management process!

What’s the Use of Sync Between Estimates and Asana Custom Fields

All Asana pro-users know how much power a custom field brings: you can create a field for stage, priority, cost, or anything else that’s important to your workflow, team, and company.

When we talk about task estimates from Everhour, users see them with the help of our browser extension that works as a layer put on the Asana interface. If something is changed by Asana, there is a high chance our estimate controls will disappear.

With the sync of the field as our estimate, you can use a native Asana element to estimate hours on a task everywhere you see as well as use it on their dashboards and reports.

How to Set Your Custom Field to Sync as Everhour Estimate

A field should be a number type. We don’t restrict you to the number of symbols. It should be activated on a project level.

After that, follow your Integrations page in Everhour and click on ‘Configure’ near Asana. This button is available only to team administrators but will work for your whole Everhour team.

Enter the name of your field (please-please enter it 100% exactly it is in Asana, double-check there are no extra spaces). Users who previously did a b-sync will see the old name of the field (Estimate). Save and wait a little bit, or re-sync your projects with this field on the Projects page.

Now we synced a field and you can find its number when using our standard column Estimate in reports.

If you change the synced field name in settings, we stop showing the old field through a standard column. It becomes just another Asana custom field column.

How to Remove a User

This action is available in the user menu wherever you can find and open it. You can do it on the ‘Members’ for example:

You won’t see this button only in two cases: you open a menu for yourself or for the team owner.

What Are the Consequences

Compared to a user deactivation, when we hide their names from dashboards and lock access to Everhour, a user removal purges all data forever. You will lose all hours and task estimates associated with the user everywhere: reports, dashboards, and invoices. The only exception is the historical budget progress which won’t be touched.

Please be cautious with this function and use it only when you are 100% sure you won’t need that time again in the future.
